About The Harry and Jeanette Weinberg Foundation

The Harry and Jeanette Weinberg Foundation is dedicated to meeting the basic needs of people experiencing poverty. Each year, the Foundation gives about $150 million in grants to nonprofits in the United States and Israel that provide direct services in the areas of Housing, Health, Jobs, Education, and Aging. Grants serve a range of individuals, including women at risk and their children, older adults, people with disabilities, and the Jewish community.

The Foundation distributes most of its funding in its priority communities, which have personal ties to the life and legacy of Harry Weinberg and are places where Foundation trustees reside and provide leadership.

Position Summary

The grants assistant will have a composite role within the Operations and Program teams. The primary focus of this position will be to provide support in various areas, including but not limited to grants management processes, assisting with grant applications, and maintaining grant-related records. The ideal candidate will possess strong communication skills, be highly organized, and have the ability to effectively manage multiple tasks.

Overall Responsibilities

  • Assist administrative and grants manager in coordinating and expediting grants process.
  • Communicate with applicants, grantees, and external partners.
  • Prepare and process documents accurately and within deadlines.
  • Assist with pulling and compiling reports, data, and analysis.
  • Build and maintain tracking sheets for the Program team.
  • Assist in obtaining and analyzing information from potential and existing grantees.
  • Assist with special or priority projects as requested.
  • Scan signed checks into GIFTS online database.
  • Send out notifications inviting full grant applications to grantees.
  • Send award letters to Baltimore and Israel grantees.
  • Follow up with grantees with outstanding reports due.
  • Reach out to grantees to remind them that reports are due.

Team Member Responsibilities

  • Attend meetings and contribute to discussions.
  • Maintain and update Foundation’s central online grant files.
  • Initiate recommendations and solutions for the Grants team.
  • Maintain a clean and orderly office appearance.
  • Work well with other staff to deliver work accurately and quickly.
  • Demonstrate friendly and professional customer service.
  • Assist fellow administrative team members with work overflow.
  • Accept and respond to constructive feedback.

Skills and Qualifications

  • Work experience in nonprofit or community-related organization is highly desirable.  
  • Copyediting and proofreading, fact-checking, and comprehension of grant documents.  
  • Excellent writing skills, including accurate spelling and grammar.   
  • Advanced information technology skills, especially Microsoft Office (Excel, Word, Outlook, and SharePoint).  
  • Knowledge and understanding of database software and data analytics.  
  • Research skills.  
  • Ability to be well-organized and able to work with minimum supervision.  
  • Sense of confidence balanced with humility (diplomatic, respectful style, serving as an ambassador for the Foundation in all public settings), including the confidence to say, “I don’t know, but I will find out and get back to you.”
